2. Information We Collect

When you create an account or place an order:

  • Personal details: your name, email address and phone number.
  • Addresses: your delivery and billing addresses.
  • Account details: your login details (your password is stored in encrypted form and is never visible to us).
  • Order history: details of the products you have bought and any notes you add to your order.
  • Payment information: card payments are handled securely by our payment provider, Stripe. We never see or store your full card details.

When you sell bullion to us:

  • Details of the items you are selling and the payment we make to you, including the bank details you give us for that payment.
  • Where required, identification and proof of address, to help prevent fraud and money laundering (see Section 16 of our Terms & Conditions).

When you contact us: the content of your emails, messages or calls.

When you use our website: technical information such as your IP address, browser type and the pages you visit, which our website records for security and to make the site work.

3. How and Why We Use Your Information

The law requires us to have a valid reason (a "lawful basis") for using your personal data. Ours are:

  • To fulfil our contract with you: processing and delivering your orders, sending order confirmations, dispatch and tracking emails, managing your account, handling returns and refunds, and buying bullion from you.
  • To meet our legal obligations: keeping accounting and tax records, and carrying out checks required to prevent fraud and money laundering.
  • For our legitimate interests: keeping our website and customers secure, preventing fraud, and responding to your questions and complaints.
  • With your consent: sending you our newsletter or offers, if you have chosen to receive them. You can unsubscribe at any time from your account or by contacting us.

4. Who We Share Your Information With

We never sell your personal data. We share it only with trusted companies that help us run our business, and only as much as they need:

  • Stripe: to process card payments securely and prevent fraud.
  • Royal Mail: to deliver your order (your name, address and, where needed, your phone number or email address).
  • Our website hosting and email providers: who store our website data and send our emails.
  • Our professional advisers: such as our accountant, where needed.
  • Authorities: such as HMRC or the police, where the law requires us to.

Some of these providers, such as Stripe, may process data outside the UK. Where this happens, they are required to protect it with safeguards approved under UK law.

5. How Long We Keep Your Information

  • Order, payment and sale records: for 6 years after the end of the financial year they relate to, as required for tax and accounting purposes.
  • Identification records for bullion sold to us: for as long as the law requires.
  • Your account: until you ask us to close it, after which we keep only the order records we are required to keep.
  • Emails and messages: for as long as needed to resolve your enquiry, and no longer than 2 years afterwards.

6. Cookies

Cookies are small files stored on your device. We use cookies that are essential for our website to work, for example to keep you logged in, remember the items in your basket and help Stripe protect payments from fraud. These cookies do not require your consent, and the website will not work properly without them.

We do not currently use advertising or analytics cookies. If this changes, we will ask for your consent first and update this policy.

You can delete or block cookies in your browser settings, but parts of our website, such as the basket and checkout, may then stop working.

7. Keeping Your Information Secure

Our website uses a secure (HTTPS) connection, payments are handled by Stripe, and access to customer information is restricted to those who need it to run our business.

8. Your Rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct anything that is inaccurate or incomplete;
  • ask us to delete your data (we may need to keep some records, such as orders, where the law requires us to);
  • ask us to restrict how we use your data, or object to us using it;
  • ask for your data in a format you can take to another company;
  • withdraw your consent to marketing at any time.

To use any of these rights, simply email sales@mlwvaulted.co.uk. We will respond within one month and there is normally no charge.

9. Age Restriction

Our website and services are intended for people aged 18 and over. We do not knowingly collect data from anyone under 18.

10. Complaints

If you are unhappy with how we have handled your personal data, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

11. Changes to This Policy

We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated shown at the top.
